Job Purpose:

The HR Coordinator provides critical administrative and operational support to the Employment and Colleague Relations teams as employees progress through the full employment lifecycle. This role plays a key part in supporting staff hiring by coordinating job postings, managing candidate communications, scheduling interviews, and preparing hiring documentation. The HR Coordinator plans and facilitates onboarding and orientation sessions to support successful integration into the campus community.

In addition, the role is responsible for entering, auditing, and maintaining personnel data in the Human Resource Information System (HRIS) with a high level of accuracy and confidentiality. The HR Coordinator ensures compliance with federal, state, and local employment laws as well as institutional policies and procedures. This position also supports data reporting and analysis to inform compliance and decision-making, and contributes to broader HR initiatives including inbox management, audits, project support, and process improvement efforts. By maintaining accurate records and promoting efficient, inclusive practices, the HR Coordinator helps create a smooth and welcoming experience for new and current employees.

Essential Functions:

  • 20% - Support staff employee hiring processes by coordinating job postings, candidate communications, interview scheduling, and hiring documentation.
  • 20% - Plan, coordinate, and facilitate new hire onboarding and orientation sessions to promote successful integration into the campus community. 
  • 10% - Enter, audit, and maintain personnel data in the Human Resource Information System (HRIS) with accuracy and confidentiality. 
  • 20% - Ensure compliance with applicable federal, state, and local employment laws, as well as institutional policies and procedures. 
  • 10% - Generate reports and support data collection and analysis for compliance, planning, and decision-making purposes.
  • 10% - Assist with HR projects, audits, and process improvement initiatives as assigned. 
  • Additional Duties as Assigned by the Department

Educational Requirement:

Bachelor's Degree or Equivalent Experience

Years of Related Experience Requirement:

2 years

In lieu of the educational qualifications, candidates may qualify with equivalent professional experience at a ratio of one year of experience for each year of required education. 

Skills & Abilities:

  • Familiarity with HR policies, employment regulations and onboarding processes
  • Experience with applicant tracking systems (ATS)
  • Proven ability to work collaboratively with diverse teams and departments
  • Proficient in Microsoft Office, Excel, and Word
  • Proficient in English written and verbal communication skills
  • Excellent organizational skills
  • Demonstrated time management and priority setting skills
  • Strong attention to detail
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Familiarity with federal I-9 processes

Preferred Qualifications:

  • Certification in HR (e.g., SHRM-CP, PHR, APHR)
  • Bachelor's degree in HR, Business Administration or related field
  • Prior experience in a higher education setting
  • Experience working with HRIS platforms

Physical & On-Campus Requirements:

In-Office Presence - Ability to work on-site in typical office setting and participate in in-person meetings with colleagues: 3 days/week

Standing/Sitting - Ability to remain in a stationary position for a prolonged period: Daily (>75% of time)

Walking - Ability to move about on foot to accomplish tasks: Daily (>75% of time)

Lifting/Carrying - Ability to move or transport objects up to a specified weight (e.g., 50 pounds): Rarely (1%-49% of time)

Attention to Detail - Ability to focus on detailed tasks for extended periods: Often (50%-75% of time)

Problem-Solving - Ability to identify and resolve issues effectively: Often (50%-75% of time)

The budgeted salary range that the University reasonably expects to offer for this position: $21.23 - $23.75 per hour

Pay Range:

Minimum Salary (Non-Exempt): 20.00

Midpoint Salary (Non-Exempt): 23.75

Maximum Salary (Non-Exempt): 27.46

This position is not eligible for relocation reimbursement or a signing bonus.
