Job Purpose:

The Program Coordinator for Student Media oversees, advises and mentors students in assigned publications, support areas and projects. Responsibilities include managing expense/revenue budgets, payroll budgets, print production and promotions. Provides technical production support to publications and travel planning for Student Media.

Essential Functions:

  • 60% - Supervise and Manage student staff -
    • Supervise, manage and advise students in the areas of: Spires Yearbook; Promotions Team; Literary Journals; Photography, including Publications Manager, Office Manager and work study office assistants.
      • Assists with development and implementation of student trainings.
      • Implements and manages assessment surveys on student training and programming.
    • Team and Operational Effectiveness: Meet regularly, at least once a month, with all direct reports.
      • Manage performance on an ongoing basis throughout the year.
      • Ensure effective performance management for indirect reports.
      • Create and ensure opportunities for team development through multiple mechanisms and support recognition efforts that build morale.
    • Steward all resources, including budget, effectively and appropriately.
    • Meet operational targets, develop innovate solutions and continuously improve department and operational efforts.
    • Support and contribute to hiring efforts that meet our operational and mission needs.
    • Develop and Support Inclusive Environments: Ensure all staff are effectively onboarded to their role.
      • Actively build relationships and demonstrate a bias for collaboration.
      • Address and resolve conflicts.
      • Communicate regularly with all team members through multiple mechanisms. - (Essential)
  • 20% - Digital and Print Manager -
    • Oversee print production and file preparation for print products that include: The Gonzaga Bulletin, coupon book, dining guide, student planner and others.
      • Oversee advertising layout manager on print layout and press configurations.
      • Seek and manage competitive price bids.
      • Manage and update Student Media pages on Gonzaga website. - (Essential)
  • 10% - Manage Budgets and Payroll -
    • Manage production, expenses and payroll budgets for Spires Yearbook, Promotions, Our Voices, One World, Charter, Reflection, Photography and Office Assistants.
    • Manage revenue goals for Spires products, including reservation fee, Senior Tributes, mailing fee, portrait rebate and social media advertising.
    • Manage Concur Travel & Expense reconciliation and invoice processing.
    • Provide expenses and revenues reports to supervisor, Student Media Board and others when needed. - (Essential)
  • 5% - Administrative Work for Student Media Board
    • Provide administrative support, including scheduling of editor and adviser interviews, meeting notices, voting facilitation, room scheduling, meeting minutes, etc.
    • Provide Student Media Board with research and assistance on trends and best practices in college media.
    • Provide support to advisers.
    • Attend meetings and serve as a non-voting member of the Student Media Board. - (Essential)
  • 5% - Travel Management
    • Schedule and coordinate flights, hotels and ground transportation for all Student Media travel.
    • Process travel expense advance forms.
    • Manage and submit travel expense and reimbursement reports. - (Essential)

Educational Requirement:

Bachelor's Degree or Equivalent Experience

Years of Related Experience Requirement:

1 year

In lieu of the educational qualifications, candidates may qualify with equivalent professional experience at a ratio of one year of experience for each year of required education. 

Certifications and/or Licensures:

 

Skills & Abilities:

  • Minimum 1 year experience in student media, journalism, media adversity or student affairs in a higher education setting.
  • Understanding of print and digital media production processes
  • Basic budget management skills
  • Ability to advise and mentor students
  • Strong organizational and project management abilities
  • Basic knowledge of media law and ethics
  • Strong written and verbal communication skills
  • Marketing and promotions experiences 
  • Proficient in Microsoft Office, Excel, and Word
  • Proficient in English written and verbal communication skills
  • Excellent organizational skills
  • Strong customer service skills
  • Ability to interpret and apply complex policies and regulations
  • High analytical capability, with ability to identify issues, compare data, and resolve discrepancies
  • Ability to work flexible schedule including mornings, evenings, weekends, and holidays as needed

Preferred Qualifications:

  • Masters Degree
  • 2+ years of direct experience working with student media or advising student organizations in a college or university setting.
  • Journalism experience.
  • Experience with budget oversight and payroll processes
  • Knowledge of student development theory and experience applying it in student advising
  • Familiarity with student travel planning, risk management, and university policies
  • Experience with diversity, equity, and inclusion initiatives in media or student affairs
  • Experience supporting multimedia production (video, audio, web)
  • Previous experience working in a higher education setting

Physical & On-Campus Requirements:

In-Office Presence - Ability to work on-site in typical office setting and participate in in-person meetings with colleagues: 5 days/week

The budgeted salary range that the University reasonably expects to offer for this position: $20.20 to $21.63

Pay Range:

Minimum Salary (Non-Exempt): $20.20

Midpoint Salary (Non-Exempt): $25.24

Maximum Salary (Non-Exempt): $30.28
