Job Purpose:

This position will provide direct support to the leadership team within the School of Law Dean's Office. This position develops and maintains strong professional relationships and works collaboratively with a variety of internal and external stakeholders. The role performs a wide range of complex administrative, record-keeping, facilities, marketing, and budgetary duties in support of department. In addition, this position will provide direction, supervision, and manage workflow for Faculty Support positions and work study students. Provides back up and cross-training support for key functions within the School of Law.

Essential Functions:

  • 35% - Administrative Support for Dean's Suite
    • Assists in travel and purchasing needs for suite and staff including submission/expense management through Concur software.
    • Provides limited administrative support to Deans.
    • Hires and supervises work study students in support of Dean's suite.
    • Assists with event planning and catering needs including use of Event Management software (EMS and Zagtivities).
    • Provides support to the Assistant Dean with managing software related to building access, work order submittal and tracking, and hard key submissions.
    • Manages mail pick up and distribution for suite.
    • Manages high-priority and often complex projects for Deans related to administrative duties.
    • Maintains organizational charts for the Law School.
  • 30% - Faculty Suite Management
    • Supervises Faculty Support Coordinator and Faculty Assistants: trains, allocates, and assists with overall workflow.
    • Works closely with the Associate and Assistant Deans to manage complex issues.
    • Develops protocols and updates training documents for Faculty Support positions.
    • Provides support to Faculty in travel and purchasing expense-related processes through Concur.
    • Hires, trains, and guides work study students for faculty and staff support.
    • Participates in clerical and administrative duties in support of Faculty.
    • Oversight of building safety and security initiatives.
    • Ensures faculty suite is a well-managed, clean, and welcoming environment.
  • 15% - Marketing and Branding Administrative Support
    • Provides limited administrative and editing support to the Marketing Manager.
    • Assists in the creating and review of documents, submittal and uploading of flyers, social media posts, and related under the direct guidance of the Marketing Manager and Deans.
    • Supports marketing efforts on website to include monitoring and editing activities. 
  • 10% - Ensures Compliance of GU Policies, Record Keeping, and Risk Management
    • Ensures program compliance to college policies and procedures in the areas of program planning, contract negotiation, fiscal management and facility use.
    • Creates/maintains documents in support of position activities and cross-trains key staff on specifics of job duties/activities. 
  • 10% - Special Projects and Initiatives
    • Provides high level project management and clerical support for Special Projects and Initiatives.
    • Participates in cross-training and backup support for key functions in the School of Law.
    • Supports annual artist in residence coordination.
    • Supports faculty-driven CLE credit programs including applications, attendee lists, and related activities which include contact and support of community lawyers, judges, and other stakeholders.
    • Maintain a positive, helpful, constructive attitude and work relationship with supervisor, college staff, students, and the community.

Educational Requirement:

Bachelor's Degree

Years of Related Experience Requirement:

3 years

In lieu of the educational qualifications, candidates may qualify with equivalent professional experience at a ratio of one year of experience for each year of required education. 

Certifications and/or Licensures:

 

Skills & Abilities:

  • Strong knowledge of Microsoft Office packages including Excel.
  • Proficient writing and editing skills.
  • Demonstrated time management, punctuality, and priority setting skills.
  • Ability to maintain confidentiality.
  • Ability to interpret and apply complex policies and regulations.

Preferred Qualifications:

  • Master's Degree Preferred.
  • Experience in legal field / environment.
  • Proficiency with university/college software.
  • Familiar with marketing, planning, budgeting and goal setting.
  • 5+ years working in higher education experience preferred.
  • Supervising in higher education setting preferred.

Physical & On-Campus Requirements:

In-Office Presence - Ability to work on-site in typical office setting and participate in in-person meetings with colleagues: 5 days/week

Standing/Sitting - Ability to remain in a stationary position for a prolonged period: Daily (>75% of time)

The budgeted salary range that the University reasonably expects to offer for this position: $53,200-$59,850 

Pay Range:

Minimum Salary (Non-Exempt): $25.58

Midpoint Salary (Non-Exempt): $31.97

Maximum Salary (Non-Exempt): $38.37
